Run Connected Shop Workflows

    Receive material in the right units

    Purchasing accepts fractional and partial deliveries. A saved conversion translates purchase units into stock units, and each receipt updates stock history and weighted average cost together.

    Keep equipment history

    Add machines and tools, link saved machine profiles, and record runtime, servicing, sharpening, replacements and calibration. Job-linked runtime and maintenance costs appear once in the job expenses.

    Schedule and assign production

    Choose a job, machine, teammate, start and finish. Add predecessor steps and wait or cure minutes. The planner checks overlap, dependencies and working hours when saving. Saved setup snapshots stay with the scheduled step.

    Share the project with the customer

    Upload drawings or proofs, share only the ready revisions, and create a private portal link. Customers can review the quote, approve the exact proof, request changes and see invoice and recorded payment status.

    Record work and finish a batch

    Assigned workers can complete tasks, record time and consume reserved stock. For a production batch, review total material use, labor, expenses, good units and rejects before receiving finished stock.

    Review costs for the next estimate

    Cost reports compare original breakdowns with recorded consumption, labor and expenses. Review template labor suggestions based on completed batches; applying one changes future estimates only.

Before you begin

Set up the inputs that make the workflow useful.

  • Set your stock unit, cost per stock unit, purchase unit and conversion in Inventory.
  • Set the shop time zone and working hours in Production schedule.
  • Prepare a product template and a finished-goods stock item before creating a batch.

Keep each teammate in the correct shop

Owners invite teammates using a link tied to an email address. Managers run the shop, estimators prepare customer and pricing work, and workers see assigned production without prices. Switch shops using the selector above the dashboard. Removing a membership stops further access while retaining its recorded work.

Know what the customer approved

Proof approvals record the file digest, revision, name and date. Upload a revision instead of replacing an approved file. Previously shared files remain in the project history, and internal receipts cannot be shared. Portal links expire after the selected period and can be revoked.

Keep files and requests manageable

Each file can be up to 2 MB, with a 25 MB file allowance per shop and 200 files per job. PDF, images, SVG, text DXF, TXT and CSV are supported. Recent customer requests appear in the portal and job file workspace; the complete records export retains all requests.

Import, export and recover

Owners can preview and import inventory or customer CSVs in batches of up to 500 rows. Existing SKUs or customer emails are skipped. Download inventory/customer CSVs or a full records export including uploaded files. Unfinished shop forms, inventory edits, quotes and studio designs can be restored on the same device for seven days.

Interpret recorded costs carefully

Cost reports use consumed stock rather than reserved stock, keep currencies separate, and flag missing time or material use. The original estimate is shown only when its breakdown was captured. Contribution excludes recorded invoice tax and unrecorded overhead. Record all batch time and expenses before completion to receive finished stock at the intended cost.

Do portal changes automatically change the price?

A customer request does not change the agreed price or schedule. The shop can publish a priced change for approval through the existing change-order flow.

Can I use different purchase and stock units?

Yes. For example, a sheet can contain 32 square feet or a pack can contain 12 pieces. Review the saved stock factor and enter cost per purchase unit on the order. Inventory cost remains per stock unit.

How does Operations billing work?

When subscriptions open, the shop owner manages one Operations plan for the shop through Billing & plans. Current access continues during setup. After subscription access ends, existing records remain readable and exportable; advanced changes require a subscription. Basic inventory, quotes and jobs stay available. Subscription billing is separate from customer invoice payments.
